Todoist is a clean, opinionated task manager from Doist that has been quietly excellent for over a decade. We picked it because in a market full of bloated work platforms, Todoist still does one thing well: capture tasks fast, organise them lightly and keep them in front of you. Natural-language input ("review brief Friday at 4pm #work p1") is still the fastest way to inbox a task on any tool. The trade-off is that team collaboration features are deliberately light — this is not a Jira replacement, and it does not pretend to be.

How it works

You add tasks via natural language on web, desktop, mobile, browser extensions and an Apple Watch app. Tasks belong to projects (with sections, sub-tasks and labels), have priorities, due dates and reminders. The Today and Upcoming views are the daily driver: glanceable lists of what is due now, this week or marked overdue.

Filters are the power feature — saved smart queries like "(today | overdue) & p1 & #work" surface exactly the slice of life you want to see. Boards give Kanban-style views per project. Karma tracks weekly task completion and gamifies follow-through. AI Assistant (now part of Pro) breaks big tasks into sub-tasks, suggests due dates and rephrases vague items.

Pricing reality

Todoist publishes three tiers. Free covers up to 5 personal projects, basic filters and three reminders per task. Pro at $4 per month annually unlocks 300 projects, advanced filters, reminders, calendar layout and AI Assistant. Business at $6 per user per month adds team workspaces, admin controls, shared templates, a team activity log and priority support. Education and non-profit discounts are available on application.

The honest cost watch: the free plan is generous, but reminders being a Pro-only feature catches almost every new user out. If you rely on time-based pings, factor in $48 a year before treating Free as your end state.
