Google Workspace is the productivity suite — Gmail with a custom domain, Drive, Docs, Sheets, Slides, Meet, Calendar and Chat — bound by a single admin console. We picked it because for browser-first teams, the real-time collaboration in Docs and Sheets remains best-in-class for actual editing, the Meet experience inside Calendar is friction-free, and Gemini features are now embedded across the suite. The trade-off is honest: Microsoft 365 still wins for desktop power apps (Excel for serious modelling, PowerPoint for polished decks), and Workspace storage tiers can feel tight on lower plans.
How it works
You verify your domain, create users in the admin console and assign licences. Email, Drive, Calendar and Meet run on the same identity, so a single sign-in covers everything. Drive provides personal and shared drives, with version history, granular sharing and search across content. Docs and Sheets handle multi-user real-time editing with comments, suggestions and stable revision history; Sheets gains formulas similar to Excel and connected sheets for BigQuery.
Admin controls cover users, groups, devices (with Endpoint Management on Plus and above), security policies, conditional access and audit logs. Vault on Plus and Enterprise adds eDiscovery and retention. Gemini is folded across Gmail, Docs, Sheets and Meet for drafting, summarising and Smart Canvas features.
Pricing reality
Four tiers: Business Starter, Standard, Plus and Enterprise. Starter at around $7.20 per user per month covers 30 GB pooled storage and 100-participant Meet. Standard at roughly $14.40 lifts pooled storage to 2 TB per user, adds Meet recording and 150-participant calls. Plus at around $21.60 unlocks Vault eDiscovery, Endpoint Management, attendance tracking and 5 TB pooled. Enterprise is quoted and adds advanced security, S/MIME, DLP and unlimited storage.
The honest cost watch: most SMBs do not need Plus. Standard covers Meet recording, the storage most teams need, and the standard admin features. Move to Plus only when Vault, advanced endpoint management or 250-participant Meet matter.

02
Coordinate across time zones without chaos
Agencies running Google Workspace keep client briefs in Docs, project timelines in Sheets, and team standups in Meet. Real-time collaboration means London and Manila teams edit the same brief simultaneously without version conflicts. Workspace becomes the hub; Slack and Figma branch off from it.

What members say
“Simple to admin and reliable for small businesses”
“Switched from Microsoft 365 and never looked back”
“The collaboration experience is unmatched for remote teams”
Business Starter pools 30 GB per user; Standard 2 TB per user; Plus 5 TB per user; Enterprise is unlimited. Storage is pooled across the organisation, not strictly per user.
Is Gemini included?
Gemini features are layered across the suite, with the deepest functionality on Plus and Enterprise. Some features sit in a separate Gemini add-on on Business plans — check the current matrix.
Can I keep my existing email address?
Yes. You verify your domain in the admin console and Workspace handles MX records, mail flow and routing. Migration tools import historical mail from most providers.
Does Workspace work offline?
Gmail, Drive, Docs and Sheets all support offline mode in Chrome with the Google Docs Offline extension. Edits sync when you reconnect.
Is there a free Workspace tier?
No. Personal Google accounts are free, but business email on a custom domain requires a paid Workspace plan.
What is the difference between Business and Enterprise?
Enterprise adds DLP, advanced security controls, S/MIME encryption, regional storage and unlimited storage. Most SMBs do not need it.
