What Bookafy actually is

Bookafy is appointment scheduling software — a booking page that shows your real availability, lets people self-serve a time, and handles everything around it: two-way calendar sync, automated confirmations and reminders, video-meeting links, and payment collection. It's used by solo consultants through to teams, and Bookafy states it's trusted by 25,000+ businesses across 180 countries.

The feature depth is respectable for the price. Two-way calendar sync covers Google, Outlook/Office 365 and iCloud. Video meetings auto-generate through Zoom, Microsoft Teams, Webex and GoToMeeting. Payments run through Stripe. Team features include round-robin booking and skill-based routing, group/class events, staff schedules and time-off management. You get custom booking pages plus a mini-website, an embeddable pop-up or iframe widget, automated review requests, an open API, and Zapier and Make connections. It's localised into 32 languages, and the site lists HIPAA, PCI DSS, SOC 2 Type II and GDPR-ready compliance badges.

Pricing in 2026 — and the free-plan trap

Verified from the official pricing page. Annual billing is marketed as "2 months free":

• Free — $0, permanently. Max 1 user, unlimited appointments, email notifications, a customisable booking page, embed code and a free booking website.
• Pro — $9/user/month, or $7 billed yearly. Marked most popular. Adds unlimited users, two-way calendar sync, SMS reminders (1 per booking), Stripe payments, Zoom/Teams/Webex/GoToMeeting, group events, round-robin, skill-based routing, Zapier/Make and automated review requests.
• Pro+ — $13/user/month, or $11 yearly. Adds HIPAA compliance, a second SMS reminder, custom review messaging, custom API development and optional white-label.
• Enterprise — custom quote for 100+ employees.

Now the important caveat. The free plan sounds generous — unlimited appointments, one user — but it includes no calendar sync whatsoever. No Google, no Outlook, no iCloud. That means Bookafy doesn't know when you're already busy, so it can hand out slots you can't actually take. Both Calendly's and Cal.com's free tiers include calendar connection, which makes Bookafy's free plan much weaker as a long-term option than the headline suggests. Treat it as a demo; the real product starts at Pro.

Where it shines

Value per feature. At $7/user/month annually you get round-robin, skill-based routing, SMS reminders, Stripe payments and four video-conferencing integrations — features that competitors often reserve for higher tiers. Unlimited appointments on every plan (including free) is genuinely uncapped, the 7-day trial needs no card, and 32-language localisation is unusual at this price. For a small team that wants a capable Calendly alternative without per-seat costs climbing fast, it's a legitimate saving.

Where it falls short

Three honest points. The free plan can double-book you, as covered — no calendar sync is a serious limitation, not a minor one. HIPAA and white-label are locked to Pro+ at $13/user/month, and because everything is priced per user rather than per organisation, a 10-person clinic needing HIPAA pays $130/month ($110 annually) — which erodes the "cheaper than Calendly" argument as teams grow. And the product shows signs of light maintenance: the official YouTube channel has just two videos, both from 2016, and several homepage CTAs are dead links. The homepage also carries a "New: AI-Powered Scheduling" badge with no detail page behind it, so treat that as marketing rather than a shipped feature.

Who should buy

Bookafy suits small teams and solo professionals who want real scheduling features — round-robin, SMS, payments — without Calendly's pricing, and especially healthcare or regulated practices that need HIPAA at a lower cost than enterprise alternatives (budget for Pro+). Start the 7-day no-card trial rather than the free plan, because the free tier's missing calendar sync will misrepresent the product. If polish and active development matter more than price, Calendly and Cal.com are the safer picks.
